The Research Foundation for Mental Hygiene, Inc. is seeking a qualified candidate to fill the position of Office Assistant 3 to assist the Division of Fiscal Administration at the New York State Office of Addiction Services and Supports (OASAS) in its administration of the Substance Abuse Prevention and Treatment Block Grant (SAPT). The initiative is funded by the Substance Abuse and Mental Health Services Administration (SAMHSA). This initiative is to address the needs for prevention, treatment, and recovery services throughout the State. ResponsibilitiesThe Office Assistant 3 should have the ability to adapt to a fast-paced work environment with changing needs and priorities. The incumbent should also have strong organizational, writing, oral communication, and interpersonal skills. Responsibilities include but are not limited to:Provide telephone coverage and receptionist services.Receive, log, and control incoming contracts/purchase requisitions and correspondence.Review returned contracts for completeness and distribute to appropriate staff. Contact providers when contracts are missing sections.Copy, scan, log, and prepare outgoing contracts and correspondence.Track the return of outgoing contracts and correspondence.Data entry of contract information and encumbrances into the Statewide Financial System (SFS), State Aid Budget and Reporting System (SABRS), and numerous Excel tracking logs.Prepare and perform document mail merges and mailings.Work with the Budget Unit to ensure appropriate funding is available and correct coding is utilized for contracts and Purchase Orders;Minimum Qualifications: Two years of experience in a clerical or office support role. Experience should be any of the following activities: data entry; math or calculations; mail, supply, and inventory-related tasks; keyboarding and other document preparation tasks; answering telephones; completing forms; assisting customers; creating or assisting in the preparation of reports, charts, graphs, and tables; and other related activities.Location: 1450 Western Avenue, Albany, NY 12203 To Apply: Submit a resume and cover letter no later than October 8, 2021 on our website at: .
